CRM for K-12 schools
CRM for Schools: from first inquiry to re-enrollment
Inquiries, tours, applications, contracts, tuition and re-enrollment in one system, with email and text follow-ups that run on their own.

Automatic follow-ups
A CRM for schools is software that tracks every prospective and current family from the first inquiry to enrollment and re-enrollment, automates follow-ups and document requests, and shows the admissions team where families drop off. Unlike a generic sales CRM, it understands grades, siblings, enrollment contracts and tuition.

Fewer inquiries, more choice, the same small team
Families have more options than ever, and every family that does not re-enroll is a seat to fill again.
The family journey
Eight stages, one family record
Each stage has an owner, and nothing lives in a personal inbox or a spreadsheet.
Inquiry
Website form, call, event or referral, saved with its source and grade.
Tour, open house or shadow day
Online booking with email and text reminders.
Application and documents
Your application, fee and secure upload links for every document.
Assessment and interview
Shared notes, results and tasks for the committee.
Decision and waitlist
Admit, deny or waitlist with an offer deadline.
Tuition assistance
Scholarships, aid and ESA or voucher funding on each family.
Enrollment contract and deposit
E-signed contract and online deposit, stored on the record.
Re-enrollment and siblings
Intent forms and contracts for next year, siblings linked.
Family communication
Email, text messages and a family portal, in English and Spanish
Follow-ups go out on their own, and every message stays on the family record.
- Email and text (SMS) before tours, deadlines and missing documents.
- Consent on record and Reply STOP handled, as the TCPA requires for recruitment texts.
- English or Spanish for each family: forms, emails and texts.
- Family portal to upload, sign and pay.
Sample message for illustration. Reply STOP to opt out. Message and data rates may apply.
Built for small admissions offices
Automations and AI agents that do the follow-up for you
Most admissions offices are one or two people. Edtools takes the routine work off their desk.
- Stage automations send the right email, text and task.
- AI agents answer after hours and book tours.
- Document checklists per grade, with automatic reminders.
- Reports on inquiries, yield and re-enrollment by grade and source.
CRM vs SIS vs generic CRM
Three tools schools confuse, and why one system helps
Before and around enrollment
Inquiries, tours, applications, decisions, contracts and re-enrollment. Its job is to turn interested families into enrolled students and keep them.
After enrollment
Classes, attendance, grades, report cards and transcripts. Its job is to run the school year for students who are already enrolled.
Sales pipelines
HubSpot or Salesforce track contacts and deals well, but grades, siblings, document checklists, contracts and tuition have to be built and maintained by your team.
Edtools runs admissions, tuition billing and academics in one system, so a signed contract becomes an enrolled student with a balance, with no import or sync to fix in August.
By type of school
The same CRM, set up for how your school enrolls
Private and independent schools
- Tours, shadow days and parent interviews
- Application checklists with assessments and recommendations
- Enrollment contracts, deposits and re-enrollment season
Catholic and faith-based schools
- Priority rules for siblings and parishioners
- Parishioner and non-parishioner tuition
- Tuition assistance and payment plans
Charter schools
- Open enrollment window, lottery and waitlist with sibling preferences
- Seat offers with acceptance deadlines
- Registration packets and re-enrollment intent forms
Schools welcoming ESA and voucher families
- Acceptance letters and enrollment confirmations for the program
- Funding source and expected payments on each family
- Bilingual guidance for first-time private school families

When Edtools is not the right fit
- Your school is happy on the full Blackbaud or Veracross suite and only needs a better form: improve what you have.
- You are a public school district that needs state reporting from one vendor across dozens of campuses.
- You get a few dozen inquiries a year and one person handles them all: a well-kept spreadsheet and a shared inbox may be enough for now.
Getting started
Start with this admissions season, add the rest later
You do not have to move the whole school at once. Most schools start with what hurts most during enrollment season.
Inquiry form and tours
We publish your inquiry form and tour booking, with email and text follow-ups from day one.
Your current families
We import the families in your spreadsheets so re-enrollment and siblings start from a complete list.
Contracts, tuition and academics
When families sign and pay, they move to billing and the SIS on the same record.
Quote-based pricing, sized to your school. You can start with admissions only. Implementation, data migration and services such as text messaging, AI or integrations can change the quote.

Frequently asked questions
What admissions directors ask before changing how they run enrollment.
A CRM for schools is software that keeps every prospective and current family in one record, from the first inquiry through the tour, application, enrollment contract and re-enrollment. It sends the follow-ups, reminders and document requests for the admissions team and shows where families drop off. Unlike a generic sales CRM, it understands grades, siblings, enrollment deadlines and tuition.
The CRM manages the relationship before and around enrollment: inquiries, tours, applications, decisions, contracts and re-enrollment. The SIS (student information system) manages enrolled students: classes, attendance, grades and transcripts. In most schools they are two products that need an integration. In Edtools they are the same system, so an admitted family becomes an enrolled student without retyping anything.
It depends on the size of your admissions office and the systems you already run. Finalsite Enrollment and Blackbaud are common in larger independent schools that already use those suites, Ravenna is built around committee-based admissions, SchoolMint focuses on charter enrollment and lotteries, and HubSpot fits schools with a marketing team that can configure a generic CRM. Edtools fits small admissions teams that want admissions, tuition billing, family communication and academics in one system. See the comparison table on this page.
Yes, if re-enrollment is part of the same record. Edtools sends re-enrollment intent forms and contracts to current families, tracks who has not answered, alerts the team about families at risk of leaving and keeps siblings linked, so the re-enrollment season does not depend on a spreadsheet.
Collect written consent to receive text messages on the inquiry or application form, keep a record of that consent, include opt-out instructions (Reply STOP) and send from a registered number (10DLC). Recruitment and marketing texts need prior express consent under the TCPA; schools have paid large settlements for texting families without it. Edtools stores consent on each family record and only texts families who opted in.
You can if you have someone to configure and maintain it. Generic CRMs track contacts and deals well, but schools usually have to build the grade levels, sibling links, document checklists, enrollment contracts, re-enrollment and the connection to tuition billing and the SIS themselves. A school CRM ships with those pieces.
Yes. Edtools was built in Latin America, so forms, emails, text messages and the family portal can run in English and Spanish, and each family receives messages in the language it prefers. That matters for charter schools and for private schools welcoming families who use ESA and voucher programs.
Edtools is priced by quote, based on what your school needs. You can start with admissions only and add tuition billing and academics later. Most schools start with their inquiry form, tours and document requests during the first weeks, then move re-enrollment and billing into the same system.
